- “Services” refers to the AI consultancy and managed-services Covey Ops provides to its clients, including the design, build, deployment, and ongoing management of custom AI agent teams, together with the client portal, Slack-based interfaces, dashboards, and any other tools we provide to deliver those services.
- “Client” refers to a business or organization that has entered into an agreement with Covey Ops to receive the Services.
- “You” refers to you, whether you are a visitor to our Site, a prospective client, an authorized user of a Client, or any other person whose information we receive in connection with the Site or Services.
By accessing our Site or using our Services, you accept this Privacy Policy and consent to our collection, storage, use, and disclosure of your information as described here.
I. Information We Collect
We collect both “Non-Personal Information” and “Personal Information.”
- Non-Personal Information includes information that cannot be used to identify you, such as anonymous usage data, aggregated demographic information, referring/exit pages and URLs, platform and device types, preferences, and number of clicks.
- Personal Information includes information that identifies you or could reasonably be linked to you, such as your name, email address, phone number, employer, job title, and the content of messages you submit to us.
1. Information collected via technology
When you visit the Site or use the Services we may automatically collect information your browser or device provides, including the referring URL, the type of browser and device you use, the time and date of access, IP address, and other diagnostic data that does not directly identify you. - sign a Services agreement and become a Client;
- create a user account in the client portal or are added by your employer as an authorized user;
- communicate with us in Slack or other collaboration tools we set up to deliver the Services; or
- subscribe to marketing communications.
3. Client Data
In the course of delivering the Services, our AI agents and team members may access information you or your organization provides to us, such as business processes, documents, internal data, customer records, and credentials to systems we are authorized to operate on your behalf (“Client Data”). Client Data is treated as the confidential information of the Client and is handled in accordance with the applicable Services agreement, including any Data Processing Addendum. Covey Ops does not use Client Data to train any public or third-party AI model, and does not sell Client Data.
4. AI subprocessors
To deliver the Services, Covey Ops relies on third-party AI model providers and infrastructure vendors (for example, large language model providers, cloud hosting providers, observability and analytics providers, and collaboration tools such as Slack). These subprocessors may process Personal Information or Client Data on our behalf, under contractual obligations consistent with this Privacy Policy. 5. Children's privacy
The Site and the Services are not directed to anyone under the age of 13, and we do not knowingly collect Personal Information from anyone under the age of 13. If we learn that we have collected Personal Information from a child under 13 without verified parental consent, we will delete that information. II. How We Use and Share Information
Personal Information
We use Personal Information to:
- respond to inquiries, requests for proposals, and other communications;
- deliver and manage the Services, including operating the client portal and Slack workspaces, providing support, and reporting on agent performance;
- send administrative messages, updates, and security notifications;
- send marketing communications about Covey Ops, where permitted;
- comply with legal obligations and enforce our agreements; and
- protect the rights, property, or safety of Covey Ops, our Clients, our users, or the public.
Except as described in this Privacy Policy, we do not sell, rent, or trade your Personal Information.
We share Personal Information with:
- service providers and subprocessors that perform functions on our behalf (for example, hosting, communications, analytics, and AI model providers), under contractual obligations to use the information only for the purposes we direct;
- our Clients, where you are an authorized user of a Client or where your information was provided in connection with delivering Services to that Client;
- professional advisors (such as legal, accounting, and insurance advisors);
- governmental or regulatory authorities, or other parties, where we have a good-faith belief that disclosure is reasonably necessary to comply with law, respond to legal process, enforce our agreements, address fraud, security, or technical issues, or protect rights, property, or safety; and
- an acquirer or successor in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business, in which case Personal Information may be transferred as part of the transaction.
Non-Personal Information
We use Non-Personal Information to operate, improve, and analyze the Site and Services. We may aggregate and de-identify information and disclose it to partners, vendors, or other third parties at our discretion.
III. How We Protect Information
We implement administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, alteration, and disclosure. These include encryption in transit, access controls, least-privilege provisioning, and operating client communications in private, closed-network channels rather than public email where feasible. No security measure is perfect, and you acknowledge that by using the Site and Services you accept these residual risks. We urge you to safeguard your own credentials and to log out of accounts after use.

Residents of the EEA, UK, and Switzerland: Where Covey Ops acts as a controller of your Personal Information, our lawful bases for processing include performance of a contract, our legitimate interests in operating and improving the Site and Services, your consent (where applicable), and compliance with our legal obligations. Where Covey Ops acts as a processor of Client Data on behalf of a Client, we process that data per the Client's instructions and the applicable Data Processing Addendum.
V. Data Deletion Requests
To request deletion of your Personal Information:
- Email info@coveyops.com with the subject line “Data Deletion Request”.
- Include the email address associated with any account or inquiry, your full name (if applicable), and any additional information that will help us identify your data.
We will:
- acknowledge receipt within 5 business days;
- process and fulfill valid deletion requests within 30 days of verifying your identity; and
- notify you if more time is needed due to complexity or volume.
We may retain certain information where required or permitted by law, including for compliance with legal obligations, resolving disputes, enforcing our agreements, and security or fraud prevention. Deletion requests for Client Data are handled under the applicable Services agreement and Data Processing Addendum with the relevant Client.
VI. Data Retention
We retain Personal Information for as long as necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary based on the type of information and the purpose for which it was collected. When we no longer need Personal Information, we delete or de-identify it.
VII. International Data Transfers
We are based in the United States and may process and store information in the United States and other countries where our subprocessors operate. If you access the Site or Services from outside the United States, your information may be transferred across borders. Where required by law, we put in place appropriate safeguards (such as Standard Contractual Clauses) for international transfers.
VIII. Links to Other Websites and Services
The Site and Services may link to or integrate with third-party websites and applications (for example, Slack, Google Workspace, or AI model provider consoles). Covey Ops is not responsible for the privacy practices of those third parties. This Privacy Policy applies only to information collected by Covey Ops through the Site and Services.
